Phase One Events, Canterbury, Kent
Our terms for hire
-
A deposit of £60 will secure the date required and is deducted from the final balance. The hirer has 7 days in which to cancel the contract from the date of signing and the full deposit will be refunded. Any cancellations after the 7 days will deem the deposit non-refundable.
-
The total balance is due 60 days before the event along with a damages deposit of 50% of the total fee.
-
If a confirmed booking is cancelled within 90 days of the event then 50% of the total hire fee becomes payable. If The Hirer cancels within 60 days of the event then 75% of the total hire fee becomes payable. If The Hirer cancels within 30 days of the event then 100% of the total hire fee becomes payable. No deposits will be refunded in these circumstances.
-
No charges are payable if cancelled outside the 90 days but unfortunately the deposit will be non-refundable. Any fees already paid to The Company will be refunded to The Hirer within 10 days.
-
Where a booking has been confirmed and reduced considerably by The Hirer within 90 days of the event then the total fee for the original booking remains payable.
-
Final numbers for the hired items must be made available to The Company a minimum of 4 weeks before the event. Slight adjustments will be allowed up to 1 week before the event.
-
All order confirmations should be checked thoroughly as any bookings not carried out by The Company due to incorrect details supplied by The Hirer will still require full payment.
-
A site visit will be carried out by The Company prior to the event to ensure the correct chair covers are supplied. The type of chair cover will be noted and confirmed with The Hirer. If the type of chairs are subsequently changed on the event day, The Company cannot be held responsible and full payment will be required.
-
If the DIY chair cover service is chosen it is up to The Hirer to ensure the chair covers fit the chairs.
-
All hire equipment remains the property of the The Company at all times and must only be used for the purpose intended. The Hirer is responsible for all hire equipment from the time of delivery/collection to the time of return/collection after the event.
-
When using the DIY service The Company asks that in the unlikely event that The Hirer finds any broken or damaged items, that they inform The Company immediately and prior to the event taking place. The Company will then rectify the situation. Failure to report the damages/broken items before the event will result in these items being charged at replacement value after the event. Replacement value for chair covers is £15 each and for sashes is £5 each. A full list of replacement charges is available on request.
-
Reasonable wear & tear such as scuff marks and light food marks are to be expected and will not result in any deductions. However, if there is irreversible damage from things such as rips, candle wax or ink marks The Company will issue The Hirer with a breakdown of costs and these will be deducted from the damages deposit. If the damages deposit is insufficient The Company will issue The Hirer with an invoice for the remaining costs which will be payable within 10 days from the date of the invoice. If items are found outside of the venue, for example linen/covers in the outside grounds, a replacement charge for each item will be made.
-
All items for the DIY service need to returned the day after the event unless otherwise agreed. For the fitted service The Company will fit the covers the morning of the event or the night before where possible and will collect the items the following day after the event where possible. Where items are not returned as agreed or are unavailable for collection from the venue as arranged a charge of £40 per day will be made for each day we (The Company) fail to retrieve the hired items.
-
Once items have been checked and counted by The Company the deposits or any remaining deposits after deductions will be returned to The Hirer within 10 days of the event.
-
Any complaints must be made in writing to The Company by The Hirer within 7 days of the event.
-
The Company is insured for public liability but it is The Hirers responsibility to ensure that the hired items are covered by insurance, either their own or the venues with regards to public liability risks. The Company will not be held responsible for any injury or death caused by the hired items.
